Monitoring Storage, Proof, and User Count

Check how many proofs your team members have created and how much data is left during your billing cycle.

Summary: Storage space and the number of proofs created is specific to each Ziflow Edition. Your users get a set amount of storage space and proofs to create per user, per month. You are able to check on your monthly totals in real-time from within the Billings tab.

Where is the feature setup? Account owners or Billing admins can check the usage amounts by clicking on the Settings menu and selecting the Billing tab as shown below.

How does it work?

The usage counter monitors usage on a monthly basis. You can also manage your subscription to increase the amount of licenses, storage, and proofs for your account.

What happens when my account storage runs out of space?

Users with Admin and Billing rights will be notified when your account has reached 75% of its storage limit within Ziflow and by email.

Once 100% of the allocated storage space is used, you will be asked to add additional storage or delete existing proofs. You will still be able to create new proofs for 24 hours.

Once your storage reaches 150% of your allowance, you will no longer add new proofs or attach files to comments.

What happens when my teammates use all available proofs?

Once 100% of the allocated storage space is used, you will be asked to add additional storage or delete existing proofs. You will still be able to create new proofs for 24 hours.

Once your storage reaches 150% of your allowance, you will no longer add new proofs or attach files to comments.


How are proofs counted?

Static proofs:

Personal and Business plans - each version counts as one individual proof unless assets are merged together in a batch review. Merged static assets count as one individual proof.

Enterprise plan - five versions of a static proof will count as one proof towards the proof limit.

Rich Media, Video, and Audio Proofs: Each version counts as an individual proof.


Additional Information:

  • Will our account be blocked once we reach 100% usage?

    No, you and your teammates can still work on existing proofs and create new proofs for 24 hours after reaching 100% capacity.

  • Upgrading editions or users will prorate proof and storage limits.

  • Downgrading your edition will apply changes to the storage and proof limits from the next billing cycle.
