New Ziflow capabilities are now available! Over the past month, we’ve introduced new features for getting control over markup, notifying other apps when review stages start, and additional enhancements for the New Proof Viewer. Learn more below!


New Feature Highlights


Streamline text annotations 

Last month, with the release of our New Proof Viewer, we introduced a range of features for giving your team more flexibility and control over markup. Now, we've made markup even faster in the new viewer. In addition to being movable, the Text Annotation tool now appears directly next to any text you select—exactly where you need it, no mouse moving required.

Easily measure across multiple pages 

You can also now easily measure across multiple pages in the new viewer. With the measurement tool's new floating mode, the tool stays in place as you move between pages. This is especially helpful for teams that need to ensure consistent and accurate sizing of elements that appear on several pages as you can now check those pages against the same measure simply by navigating from page-to-page.

Notify other apps when review stages start 

Ziflow Connect now makes it easy to keep your team and tools in sync whenever review stages start. With the new 'Stage Started' trigger, you can automatically send notifications to your chat, project management, and other apps when a review stage kicks off.

Experience the New proof viewer 

Still haven't tried the New Proof Viewer? In addition to markup tool enhancements, this release brings additional improvements to the viewer including: toolbar access to the 'Fit to page' control; enhanced highlight coloring of text search results for greater visibility; and automatic asset resizing to show markup when opening comments in compare mode.

Additional Updates

  • 'Show Custom Property in the Viewer': This option, which lets you choose whether custom properties display in 'Proof Details,' now works across all of your accounts in Ziflow. You can access this option from within Proof Viewer Settings. 
  • Comparing proofs in low resolution: To support reviewers comparing proofs at resolution levels below 1600px, page toolbar buttons can now be found under the 'More tools' list in order to prevent commenting tools from covering them.

New Ziflow capabilities are now available! Over the past month, we’ve rolled out new integration capabilities for connecting Ziflow to your other apps and made it easier to visualize the stages of your team’s workflow.

Notify apps when proofs are shared and workflows start

You can now keep your team in sync by automatically notifying them in project management, chat and other apps whenever proofs are shared or workflow stages start. All Ziflow admins can easily set these notifications up as webhooks directly from the API menu.

Easily visualize the order of workflow stages

It’s now easier to visualize the order in which workflow stages take place. Previously, stages were listed in the order in which you created them, regardless of their relationship to each other. Now, dependent stages set to begin when a previous stage ends are listed immediately after that previous stage. This way, you can more quickly see exactly which workflow stage is taking place next.

Enhanced security for app notifications 

As an additional layer of integration security, you can now verify that notifications sent from Ziflow to your other apps are properly received. Using a webhook signature key, it’s easy to verify that the information included in any notification is exactly what was sent from Ziflow. You can automatically create a webhook signature for your account directly from API settings.

New Product Updates: October 2020 Copied to clipboard!

New Ziflow features and system updates are now available! Over the past month, we’ve rolled out new capabilities such new ZIbot Paths, the new way to calculate proof deadlines, and more!

Calculate deadlines relatively based on a previous version

We’ve introduced a new account setting today that toggles the way deadlines are copied from a previous version when creating a new revision.

Up until today, deadlines were copied using the absolute method in which the deadline date was copied as is. When proofs go through a number of review stages, prior stages’ deadlines were in the past, which means they were immediately late when creating a new proof version. That required manual adjustment when not using workflow templates.

The new account setting allows deadlines to be copied relative to that previous version’s creation date. If the first stage had 2 days between the deadline date and the creation date, when creating a new version of the proof, the deadline would be 2 days from that time.

The new setting can be found in:

  • Settings > Proofing Settings > General > Other settings > Deadlines: relative based on previous version

Note: The automatic deadline recalculation is based on business days and does not include Saturday and Sundays.

Allow commenting on locked, not started or skipped stages

Today, we’ve expanded the collaboration on proofs across stages even further! We’ve added an account setting that allows reviewers to now add comments and replies on proofs even if a reviewer’s stage is locked, skipped, or not yet started.

This enables reviewers to reply to any @mentions on a proof, collaborate with other reviewers, and continue the conversation, regardless of the stage status.

The new setting can be found in:

  • Settings > Proofing Settings > Comments > Allow reviewers to comment on locked or skipped stages
Note: This will not change a reviewer’s ability to see proofs on the proofs lists or in notifications.

Zibot Paths

Flows have just become a lot smarter! We’ve introduced our newest Zibot to the family called “Paths”. Zibot Paths allows Flows to execute different Zibots based on one or more conditions.

Now there’s no more need to duplicate your flows, this new conditional Zibot helps you build multiple outcomes into one Flow, so you can automate anything you imagine.

With our intuitive UI, you can select from a list of predefined data to create as many conditions as you require. If you need an advanced condition, we also allow you to use JSONPath to access values within Ziflow objects.

Zibot Paths are currently available with flows triggered by Ziflow events and Intake forms.

New: Proof Workflow Visibility Account Setting

Currently reviewers without manage permissions on a proof only see the stage they are in. However in some cases you need reviewers to see the progress of the proof.

We’ve added a new account setting that provides the option to display all the stages of a proof’s workflow to users. You can find this setting here:

  • Proofing Settings > General > Allow reviewers to view full workflow

Updated Features

Automatically Sign-in to public URLs

Currently, reviewers are required to sign-in every time they want to access a proof via a Public URL. 

To streamline proof access and save time when opening multiple proofs, we've implemented auto-login when the "Remember Me" option is selected. When the reviewer opens the proof on the same computer and browser after the first login, the Proof VIewer will open automatically without a sign-in screen or button. 

  • Auto-login will only apply to proofs that require just an email for login. If authentication is required on a proof, reviewers will still need to authenticate with a token or password.
  • The reviewer’s email will be remembered until browser cookies are removed.

Exporting Comments: Full-page Thumbnail Option

We’ve also added a new option for including a full page thumbnail of the comment markup when exploring comments to PDF. 

When selecting “Export to PDF,” users can now choose to see a full page thumbnail of the markup or or display them as zoomed-in thumbnails on the PDF export.

Dedicated API Endpoints to Manage Proof Reviewers

To minimize the overhead when adding, updating and removing reviewers on a proof, we’ve introduced three dedicated API endpoints to manage reviewers on a proof.

New Ziflow features and system updates are now available! Over the past month, we’ve rolled out new capabilities such as a new filter for finding and restoring deleted proofs, the ability to change reviewers’ notifications settings from the proof details page, and more. Check out all the new releases we’ve added to the Ziflow platform below.

New Feature Highlights

Standard Filter for Finding Deleted Proofs

It’s happened to even the most organized teams: proofs are accidentally deleted by mistake or previously deleted proofs need to be restored. In order to save users time when relocating deleted proofs, we’ve created a new Standard Filter for “Trashed Proofs” that provides users with a self-service method for immediately finding and restoring deleted proofs in their account.

Note: This filter will apply to proofs in which all versions were deleted together. For restoring individual proof versions, please reach out to Ziflow Support.

Change Reviewer Notification Settings from Proof Details Page

Looking for an easier way to change a reviewers’ proof notification settings? Instead of requiring proof owners to open each stage to change how and when each reviewer is notified of proof updates and decisions, we’ve simplified this process. Proof owners can now simply click and change reviewers’ notification options right on a proof’s full details page.

Additional New Features

Manager Roles: View All Proof Versions

Users with the Manager role on an account are often only added to a later version of a proof. This can limit their ability to compare previous versions and gain critical context around a project.

Now, Managers who access a proof via a personal URL will be able to see all versions of a proofeven if a certain version was not explicitly shared with them or they aren’t signed in to Ziflow.

Note: This setting only applies to users who belong to the Ziflow account containing the proof and are listed as Administrators or User/Managers with “View all” permissions in the account.

Reviewing Password Protected Live Websites

Previously, Ziflow used an automatic proxy function when loading live websites in the proof viewer. In some cases it made it difficult to review live websites that required a username and password. Today, we’ve introduced a new setting to bypass our proxy servers and attempt to load the site directly in the proof viewer.

You can disable the use of our proxy by going to the “Proof Viewer” settings and disabling “Live websites: Force proxy for all sites” and disabling “Live websites: URL rewriting”. Furthermore, to ensure your website can be loaded directly in the proof viewer it should have the following:

  • Be secure (HTTPS)
  • Allow embedding within other sites

System Updates

We’ve also added these modifications to existing features to help enhance your proofing environment!

  • Branding Updates: Administrators now have the option to hide the sign-up button on the log-in page (Business & Enterprise editions.)
  • Additional Session Authentication Options: We’ve added even more menu options to the new custom session timeout settings released last month. Administrators can now select 2-, 3-, or 4-hour web session lengths for users.

Our latest product release is now live. With this release, we’ve added new options for late proof reminders, custom timeout settings, and more. Keep reading to learn about these new features!

New Options for Late Proof Reminders

Automated reminders about late proofs reduce approval delays, but many organizations don’t need or want to send reminders to reviewers every single day. To better align automated reminders with specific deadline requirements, we’ve expanded the frequency options for late proof reminders from 24 hours to up to 7 days. Administrators can now choose to send late proof reminders every 7 days or more frequently, depending on turnaround preferences.

Sort Upload Files Alphabetically

To help users organize uploaded files on combined proofs, we’ve added a button that enables reviewers to quickly sort the proof upload list alphabetically.

View Reviewer’s Decision Date from SOCD Status

Being able to easily see a reviewer’s decision date and time helps proof owners and project managers act quickly on proof decisions. To make this information more visible, the reviewer’s decision date now appears when hovering on the “D” in the reviewer’s SOCD status indicator.

Custom Session Timeout Settings

Administrators are now able to change the web session length for all users in their account from our standard 60 minutes. You can set these from anywhere from 30 minutes right up to 24 hours.

Folder Navigation Enhancements

To enable users to move more easily between proofs and folders, we’ve made our folder breadcrumbs interactive. Users can now click on the folder breadcrumb to navigate to that particular folder.

Other Highlights

  • The thumbnail ratio in all proof-related emails is reworked.
  • “Stage” filter has been updated to exclude “Not Started” stages and “Processing” proofs
  • Export to PDF does not include deleted comments and their replies
  • The Timezone list is sorted by time zones
  • Zibots Updates
    • The Zibot menu will be renamed to “Connect” for better clarity.
    • For easier Zibot Webhook creation, Zibot bodies will be validated to match JSON format standards. Soft validation will enable Webhooks to be saved even if they contain different body formatting.
    • We’ve made it easier to search an option in a single select custom field on an intake form by showing all options that contain the provided text in the search.
