Migrating your entire creative operation from one platform to another is a big enough ordeal as it is, but doing it while also splitting your online proofing tool away from your project management tool? That takes a lot of coordination. The new tools need to integrate tightly, users need to adopt them fast, and you can’t afford to break workflows that are already full steam ahead.

Sara Togawa, Senior Program Manager of Creative at Bright Horizons, managed exactly that transition. The team had been using Workfront for everything, including proofing. When they decided to migrate to monday.com, Sara needed a standalone online proofing tool that could plug in effortlessly. Ziflow was the answer.

Who is Bright Horizons?

Bright Horizons is a leading global provider of care and education services with approximately 1,000 centers worldwide. They’re best known for their early childhood programs, but the company delivers a full ecosystem of support to working families and employers across all life stages. That scope means their creative team produces a steady volume of marketing and brand materials that all need structured review.

The challenge: splitting proofing from project management without disrupting workflows

Workfront had been the team’s all-in-one solution for years, handling both project management and proofing in a single platform. When they moved to monday.com, the proofing piece needed a new home. Sara basically had two priorities: find something that integrated cleanly with monday, and find something familiar enough that users wouldn’t feel like they were starting from scratch. Ziflow checked both boxes.

How Ziflow improved their creative review process

The monday.com integration was the foundation, but for Sara, the real wins go beyond the integration. Transparency into in-flight work improved, and when projects need to change hands because of resourcing, Ziflow makes it easy to transfer ownership without administrative hassle. And the notification system lets Sara’s team dial in automated reminders on proof deadlines.

“That ability to automate a series of reminders on proof deadlines just keeps our stakeholders on task and really keeps our projects on target.”

Moving proofing to Ziflow was also a cost-efficient choice that didn’t sacrifice functionality. But Sara points out that the value goes beyond licensing. The speed at which users onboarded saved the team time they’d normally lose to a lengthy transition.

“That’s a credit to the UX design of the tool. It’s very visually appealing and intuitive, and that’s something you really need when you’re trying to sell a tool to creatives.”

Sara’s verdict

One word to describe Ziflow? Dynamic. The ability to update workflows, create new automations, and make enhancements without waiting on someone else gives the team an agility they didn’t have before.

“We’ve been able to make a lot of enhancements to our proofing workflows, and just having that autonomy to update flows and create new automations has been really helpful.”
